Who we are and what this covers
Dinkville LLC (“CREW,” “we,” “us,” or “our”) operates the CREW websites, iOS and Android applications, player profiles, crews, city place guides, game coordination tools, push and email notifications, and text messaging program (together, the “Services”). This Privacy Policy explains what information we collect, why we use it, when we disclose it, and the choices available to you.
Information we collect
- Account and contact information: name, username, verified phone number, email address, sign-in records, and records of your communication choices.
- Player profile information: profile photo, city, sports, playing style, ratings or links you provide, profile visibility, and private community links you choose to save.
- Crew, place, and game activity: crew requests and relationships, public places derived from completed games, games created or joined, invitations, responses, confirmed rosters, notes, and contributions or assists.
- Messages and support: messages sent to or from CREW, delivery status, opt-in and opt-out records, support requests, and actions you ask CREW to complete through messaging.
- Device, location, and technical information: device platform, app version or variant, push-notification token, installation identifier, device name supplied by the operating system, IP address, browser or device information, diagnostics, security or usage events needed to operate and protect the Services, and precise device coordinates only when you choose “Use current location” for nearby open games.
- Permissions you choose to grant: contacts for optional matching, camera access for QR scanning or taking a profile photo, photo-library access for choosing a profile photo or saved QR code, foreground location for nearby open games, and notifications for push alerts.
How we use information
We use information to create, authenticate, and protect your account; display the profile and visibility choices you select; help you find and invite people; operate crews, city place guides, and games; match open games to your preferences; deliver requested push, email, SMS, and in-app communications; provide QR and sharing features; offer support; receive and review private safety reports; enforce blocks and content rules; detect abuse or security problems; maintain reliable backups; understand and improve product performance; and comply with law.
Mobile information and SMS consent
We do not sell or share mobile information with third parties or affiliates for marketing or promotional purposes. Your mobile information will not be sold or shared with third parties for promotional or marketing purposes. Text messaging originator opt-in data and consent will not be shared with any third parties or affiliates for marketing or promotional purposes.
If you separately opt in, CREW sends recurring account notifications, crew requests, game invitations and confirmations, roster and schedule changes, open-spot alerts, post-game follow-ups, and customer-care messages. Message frequency varies. Message and data rates may apply. Consent is not a condition of purchase or use of CREW.
We may disclose mobile information and consent records to communications providers, wireless carriers, and service providers only as needed to deliver, secure, support, or document the CREW messaging program, or when required by law.
Optional contact matching
If you choose “Find People in My Contacts,” CREW asks for your device’s contact permission and reads only phone numbers and email addresses for matching. These identifiers are transmitted securely, converted into keyed one-way matching fingerprints, and not retained as raw address-book details. CREW does not upload or store contact names through this feature.
Contact matching creates suggestions only. CREW does not message your contacts, invite them, or add anyone to your crew automatically. Matching fingerprints remain connected while the feature is on so someone can appear if they later join CREW. Disconnect contact matching in Notification Settings to delete the saved fingerprints and contact suggestions without changing existing crew relationships.
Relationship-led invitations
CREW’s authorized founders may use their own contact details and limited relationship metadata from communications they participated in to prepare personal invitations, understand likely city and playing context, avoid duplicate outreach, and attribute an invitation if someone later joins. This private workspace can include a person’s name, encrypted phone or email identity, dates and counts of interactions, group-overlap and play-related signals, an assigned relationship owner, and evidence-backed public professional or community information. Raw message bodies and attachments are not retained in this workspace by default.
CREW does not use this information to send automatic outreach or add anyone to a crew. Invitations are reviewed and sent personally. A recipient can decline, ask not to be contacted, or request removal of the related contact record by contacting us.
Photos, camera, and QR codes
CREW uses the camera only when you choose to scan a QR code or take a profile photo. A selected profile photo is uploaded and stored for your profile; camera frames used only for QR scanning are not uploaded by CREW. Photo-library access is used only when you choose a photo or saved QR image. You can remove your profile photo or change these permissions in your device settings.
Location
CREW requests foreground location only after you choose “Use current location” in Open Games. The coordinates are saved with your game-discovery preferences and used to filter games by distance. CREW does not request background location or continuously track your movement. You can browse the full city without location access, change the saved location, or revoke location permission in your device settings.
Confirmed game chats and visibility
Your profile visibility and played-place choices control what other players can see. Private places never appear on your public profile. Players you connect with may see the profile information and private group links you choose to share. Game participants can see information needed to coordinate the game, such as names, responses, and confirmed rosters.
When you separately opt into CREW game texts and join a locked game, CREW may create a group text containing the confirmed players and the CREW number. Group texting makes each participant’s phone number and messages visible to the other participants. We disclose this before you turn on ongoing texts.
When we disclose information
We disclose information to infrastructure, storage, communications, mapping, app distribution, analytics, security, and support providers that process it for CREW under appropriate restrictions. We may also disclose information when required by law; to protect people, rights, safety, or the Services; or as part of a merger, financing, acquisition, or sale subject to appropriate confidentiality and continued protection.
We do not sell personal information. We do not use or disclose personal information for cross-context behavioral advertising.
Retention, deletion, and backups
We retain active account information while you use CREW and retain other records only as long as reasonably needed for the purposes described above, including security, fraud prevention, dispute resolution, legal compliance, and reliable operation.
You can permanently delete your account from Account Settings in the CREW app or at crewville.com/account/delete. Deletion removes the account and associated personal data from the live service and signs out every session. Limited copies may remain temporarily in encrypted, access-restricted disaster-recovery backups and are not used for any other purpose. Daily recovery copies are retained for up to 35 days, and one monthly recovery point may be retained for up to 400 days. CREW maintains a one-way deletion record so deleted accounts are removed again before any restored account can return to active use. We may retain narrowly limited records when legally required.
Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information, including encrypted transport, limited administrative access, secure device-session storage, access-controlled backups, and monitoring intended to prevent misuse. No online system can guarantee absolute security.
Your choices and rights
You can update your profile, visibility, place preferences, contact matching, and notification settings in CREW. Reply STOP to stop recurring CREW texts and START to turn them back on. You may request access, correction, or deletion of personal information by using the product controls or contacting us. Depending on where you live, applicable law may provide additional rights to access, correct, delete, or obtain a copy of personal information, or to appeal a decision about a privacy request. We may verify your identity before completing a request.
Children
CREW is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child provided information to CREW, contact us so we can review and delete it.
Changes to this policy
We may update this Privacy Policy as CREW changes or legal requirements evolve. We will post the updated policy here and change the effective date. If a change materially affects how we use information, we will provide additional notice when appropriate.
